Catholic Diocese of Richmond is one of the oldest dioceses in the country. The territory was formerly part of the Archdiocese of Baltimore. Pope Pius VII established it as their own diocese in 1820. Today there are over 220,000 active Catholics in the diocese involved in 153 parishes. They also have 204 priests in the diocese, including about 30 retired priests, some of whom are still active in priestly ministry, and about 40 religious order priests.

Catholic Diocese of Richmond is an active and vibrant diocese, marked by a spirit of enthusiasm for ministry. Lay involvement in ministry is one of their hallmarks. The ministries include administration, worship, education, formation and fellowship -- and extend to care, assistance and advocacy for those in need.

Requirement

There are 200 religious order women and men serving in the diocese. In the past, they had to manually enter their time cards into an excel spread sheet. This highly inefficient process became unworkable for them.

Catholic Diocese of Richmond wanted both a more efficient way of processing time cards in payroll, as well as a more accurate reporting of employee time worked. Abra is their payroll program and in trying to find a program that would integrate with Abra, they came across Employee Based Systems.

The Solution

Employee Based Systems proposed EBSTime software for time and attendance management, and this met all of their requirements. They had a very short time frame within which they had to implement the EBSTime software. Everything needed to be just about perfect to meet their deadlines, and it all happened with ease. Prior to implementing EBSTime, their accrual calculations were not integrated with payroll. All of these attendance plans and accruals are now included in their EBSTime application. In addition to this seamless integration of functionality, handling of their FLSA requirements has also become easier and more accurate.

Automated Process

From an administrator’s point of view- EBSTime is very much an automated process. One example of this was them pleasantly being surprised to learn that the daylight savings time change was automatically handled by the EBSTime software, whereas it had been a manual process in the past. Also, the timesheets and vacation can be approved separately, independent of one another.

The greatest thing they wanted was integration of their attendance system with Abra and time sheet. EBSAttendance worked extremely well in that respect.
