Boyd Evans Controller

Idaho Technology is a privately held mid-sized company and develops, manufactures, and sells the fastest, highest-quality machines in the world for pathogen identification and DNA analysis; including DNA amplification, real-time thermocycling, Hi-Res Melting™, mutation detection and genotyping. Idaho Technology manufactures instrumentation to conduct these tests, as well as a line of freeze-dried reagents and DNA/RNA purification and test kits. IT BioChem, a division of Idaho Technology, offers a complete list of probes, primers and melting dyes for Idaho Technology real-time thermocycling instruments. Idaho Technology products are used in Bio-Defense, Food Security Testing, Water Security Testing, Mutation Discovery, and Genotyping industries.

Robust Feature Set Requirements:

Idaho Technology quadrupled in size within a 2 year period, and with this rapid growth came some challenges. Much of the work which Idaho Technology does is based on contracts with the Federal Government, which imposes strict auditing requirements on all of its contractors. And these audit requirements are demanding, complex, and precise. According to Boyd Evans, the Controller for Idaho Technology, “Every minute worked by every employee (sometimes including the CEO) has to be recorded and accounted for specific contract.” Idaho Technology works on hundreds of projects at any given time. So, it was critical that the selected time and attendance system have very strong cost accounting capabilities. Since each employee could work on several different contracts within a day, it was also crucial that the time and attendance system would easily allow employees to move in and out of different projects every day and keep an accurate record of the time worked on each project.

Seamless Integration:

Idaho Technology was using Sage MAS 500 for ERP and Sage Abra for HR and Payroll. The time and attendance system needed to be tightly integrated with Sage Abra Payroll and the Sage MAS 500 project accounting module.

Flexible and Willing Partner:

More importantly, however, Idaho Technology knew they needed a flexible and willing partner to work with. They had thoroughly tested the market and knew that several difficult customizations would be required, because of some non-standard specifications they had. They were advised by their HR / Payroll consultant, Jeff Olsen, of SGS Technologies, Inc., that although there were several adequate solutions to choose from, only Employee Based Systems would be flexible enough and nimble enough to provide the required customizations in the specified time frame.

Boyd Evans describes one of the customizations as follows: “We needed a web based time clock application which would allow every employee to see all the other employees who were clocked in and where they were located at any given point of time.” This was necessary due to the close collaboration among different divisions and departments within Idaho Technology. This had proven over time to be the most effective way to locate a specific expert in the shortest amount of time.

Other customizations included creating a set of reports which would make it easier for supervisors to validate all the project accounting, and efficiently handle their sign offs to the Government. Employee Based Systems also added some new overtime allocation rules for the calculation of overtime which would be distributed over multiple projects.

The Solution:

All of these requirements have been met by the implementation of EBSTime, EBSPunch, and the various customizations required by their contract with Employee Based Systems. The integrations with Sage Abra and Sage MAS 500 are standard features in the product. And the required customizations were successfully completed to provide the tailored solution that Idaho Technology needed. The implementation went smoothly and efficiently despite the numerous customizations involved. Says Boyd Evans: "The implementation of the EBSTime System has made our lives easier, less hectic and more productive. Employee Based Systems has been a great partner to work with."
