North County Vending Services (NCV) is a service vending company with 340 employees and 10 operations in 7 western states. Founded in 1977, North County Vending provides vending services to institutions across all spectrums of the workplace, both in the private sector and the public sector. The company motto is "Treat each customer as the First."

The Challenge:

Colleen Cole, Human Resources Manager was faced with a decision. NCV had a time and attendance system installed at several locations, and although they were from the same prominent time and attendance company, she was not sure she wanted to stick with them. She had several major concerns. Her first concern was service and support. Although she was paying premium prices for support from the incumbent vendor, she felt the support she was getting was inadequate. The second concern was the fact that the integration with the Time Keeping system and the Sage Abra HR and Payroll system was not working, and she knew the payroll department was spending too much time with duplicate manual data entry, which brought with it a much higher risk for error. She really thought it would make much more sense to find a system that would be fully integrated with their payroll system.

Colleen also had some unique requirements. Of the total of 340 employees, approximately 200 of them were route drivers who were constantly on the go - handling collections, making deliveries and visiting the customers. She needed an effective and efficient way for the drivers to get their hours into the time and attendance system. In addition, she needed a system which would accommodate hourly, salaried and commissioned employees. The route drivers all work on commission with complex calculations based on hours worked, miles driven, drive time, number of stops made in a pay period, in addition to a percentage of sales. NCV was at the decision point, because their maintenance agreement with their current vendor was up for renewal, and they either had to pay or look around for a new system. Colleen contacted her Abra consultant Dino Mancinelli of Software Marketing Solutions and discussed the situation with him. Dino proposed several alternative solutions, one of which was Employee Based Systems’ EBSTime suite.

The Solution:

North County Vending acquired EBSTime, EBSPunch, and EBSAttendance from Employee Based Systems. There were several reasons why NCV eventually selected EBSTime. The first was that the integration between Abra Payroll and EBSTime was rock solid. Dino had informed Colleen and NCV that Employee Based Systems had been working with Abra from the first day the product was developed and that the company had also developed nearly a dozen applications which enhanced and complemented Abra. All this meant that the EBSTime interface had to be tight. Secondly, EBSTime easily met all the unique requirements for calculating commissions and Web Based time entry.
